Coco & Dash is seeking an experienced part-time (potential for full-time) Project Manager / Assistant to the Principal. In this position, you will play a pivotal role in ensuring the smooth operation of our Interiors Projects and Design Studio, provide essential administrative and operational support to our design team and, more prominently, to the Principals. Attention to detail, excellent communication skills, and ability to multitask will contribute to the overall efficiency and success of our projects. Some back office duties on the retail side of our business will be involved. This role is distinctly non-design oriented, and it's important to emphasize that it does not lead to a transition into a design position.

      Job Descsription

 

  • Support the project team on multiple interior design projects simultaneously, from concept development to final implementation
  • Assist in preparing visual materials for presentations.
  • Provide support in field measures.
  • Coordinate and track sample requests, deliveries, and returns.
  • Prepare and maintain project documentation, including meeting notes, proposals, work orders, purchase orders, and specifications.
  • Coordinate project logistics, including orders, deliveries, and installations, ensuring smooth communication and collaboration between team members, vendors, and clients.
  • Assist in developing project budgets and tracking expenses throughout the project lifecycle.
  • Work with the team to balance purchases and client invoices, ensuring financial accuracy and efficiency in project billing.
  • Monitor project progress, identify potential risks or issues, and provide proactive solutions.
  • Provide weekly status reports to the lead designer.
  • Support the project closeout process, including coordinating final inspections and client walkthroughs.

      Requirements

 

  • Bachelor's degree.
  • 2+ years of proven experience in project coordination or related roles within the interior design industry.
  • Excellent communication and interpersonal skills, with the ability to collaborate effectively with clients, contractors, vendors, and team - members.
  • Excellent problem-solving skills and attention to detail.
  • Knowledge of sourcing materials, furnishings, and finishes, with a keen eye for design aesthetics and quality.
  • Ability to handle working on multiple projects simultaneously, prioritize tasks, and meet deadlines in a fast-paced environment.
  • Maintain inventory of office supplies. Order and restock supplies as needed.
  • Manage listings and communication regarding inventory listed on platforms such as 1stDibs and Chairish.
  • Organize and maintain project files, contracts and other relevant documentation in both physical and digital formats.
  • Maintain the overall tidiness and organization of the studio space to create an efficient work environment.
  • Provide support to the design team members as needed, ensuring they have the resources and information required to excel.
